Job Description: Medical Support Assistant

Position Overview: We are seeking a dedicated and detail-oriented Medical Support Assistant to provide non-personal support services to various departments at the Indian Health Services Bemidji Area’s White Earth Health Center (WHC), Naytahwaush Clinic, and Pine Point Clinic. The role entails performing administrative tasks and interacting with patients while adhering to the outlined responsibilities and qualifications.

Responsibilities: The Medical Support Assistant will play a crucial role in supporting multiple departments with the following tasks:

  1. Determining patient eligibility for care under the Purchased/Referred Care Program, including applying relevant rules and regulations.
  2. Identifying and utilizing alternate resources available to patients, such as Medicare, Medicaid, and private insurance.
  3. Conducting interviews and obtaining essential patient registration information.
  4. Verifying and updating insurance information for billing purposes.
  5. Explaining programs and coordinating services with patients and alternate resource organizations.
  6. Adjusting work assignments to manage peak times, leave requests, and vacancies.
  7. Performing other duties as assigned.

Qualifications: To excel in this role, candidates must meet the following requirements:

  1. Knowledge of proper processing requirements, forms, and authorization documents.
  2. Proficiency in managing various clinical systems, appointments, and walk-ins.
  3. Ability to accurately enter and update eligibility, demographic, contact, and insurance information into RPMS.
  4. Familiarity with privacy and confidentiality considerations.
  5. Proficiency in operating standard office equipment and computer applications, including Microsoft Word and Excel.
  6. Proven track record of working as an independent and proactive team member.
  7. Strong interpersonal skills and the ability to communicate effectively with diverse patients.

Supervisory Controls: The Medical Support Assistant will operate under the supervision of the Department Manager overseeing the assigned department. Work will be reviewed to ensure compliance with Indian Health Service policies and procedures.

Work Environment and Schedule: The role will be performed within the White Earth Health Center, Naytahwaush Clinic, and Pine Point Clinic. The work environment may involve frequent standing, walking, sitting, bending, and carrying of items.

Contractor Requirements: Candidates must meet the following contractor requirements:

  • Not employing individuals listed on the HHS list of providers excluded from federally funded health care programs.
  • U.S. citizenship or meeting other applicable requirements.
  • Successful completion of a criminal history background check.
  • Proficiency in English for effective patient communication.
  • Initiative, interpersonal skills, and social sensitivity for diverse patient interactions.
  • Ability to operate a personal computer using Microsoft applications, such as Word and Excel.

Orientation and Training: Selected candidates will receive orientation to WHC policies and procedures. Training will cover automation processing, quality assurance policies, local in-service, and safety briefings.

Electronic Medical Record Keeping Systems: The Medical Support Assistant will receive training in Electronic Health Record (EHR) systems and other relevant procedures. Compliance with HIPAA Security Rule is essential.

Reporting and Safety: The Contractor will submit reports as requested and ensure compliance with installation safety regulations.

Hours of Performance and Billing: The Medical Support Assistant will provide services for 8 hours a day, 5 days a week (excluding federal holidays). Shifts will be 8 hours long, subject to change due to operational needs.
